Administrative Assistant (Contract)

MQ is seeking an Administrative Assistant to aid in managing the day to day office duties, provide administrative support to the CEO, and offer additional help to MQ staff on an as-needed basis. Please note this position is a temporary maternity leave opportunity with the potential for permanent work after the one-year term.

About You

The ideal candidate will be a detail oriented, enthusiastic, and organized. This position is task focused and requires someone with impeccable time management and prioritization skills. This person must have excellent communication skills; and be able to take initiative and work with little direction. Project management is a key component of this position, so the ideal candidate must also be comfortable keeping track of project schedules and communicating between MQ and their clients.

Roles + Responsibilities

Duties include but are not limited to: providing high quality, administrative support to the CEO (sending and following up on correspondence and personal assistant duties); providing project management support and work as a liaison between MQ and our clients; administrative support to the rest of the team as needed; coordinating offsite events and team building activities; managing the day-to-day office environment; dealing with property management and security as necessary; content creation and data entry on our products, JustBeer and JustWine; and general reception duties (such as greeting visitors, answering phones, maintaining filing system, accepting couriers, sending outgoing mail).


Education & Experience

  • Diploma or Degree in a related discipline (Business Administration/Administrative Support) or an equivalent combination of education and experience.
  • Minimum 5 years in an office management/executive assistant role


Technical Skills

  • Proven experience as an Office Manager
  • Project Management course work and experience an asset
  • Effective organizational, problem-solving, time-management, planning and analytical skills
  • Ability to exercise judgment in effectively establishing priorities for multiple tasks and carrying tasks through to completion in a timely manner
  • Self-directed and able to work under pressure or with tight deadlines with little or no supervision
  • Must be flexible to accommodate changing and/or challenging workload demands
  • Demonstrated ability to communicate professionally and tactfully, both orally and in writing
  • Detail oriented
  • Excellent interpersonal skills and able to create relationships with staff and clients
  • Use judgment, confidentiality and discretion when handling sensitive issues
  • Assist with and provide information, content development, and creation of correspondence and client contracts
  • Passion for writing and creating content (you may be required to do data-entry or content creation for MQ products, JustWine and JustBeer)
  • Proficient with Microsoft Office including Outlook, Word, Excel and Power Point
